Privacy Policy for GEM Coaching Network

GEM Coaching Network values your privacy. This Privacy Policy explains how we collect, use, and protect your information when you use our mobile application ("GEM Compass").

Account Information
When you sign up, we collect your first name, last name, and email address.

Profile Information
You may choose to upload a profile picture and set a nickname for messaging purposes.

Authentication
Passwords are managed securely through Firebase Authentication; we do not have access to or store your password.

Photos and Media
If you choose to upload profile pictures or share media in chats, these are stored securely with your consent.

Chat Data
Messages, conversations, and media shared in the app are processed through Stream Chat services to enable communication features.

Calendar and Event Data

  • Event Display: We display events from admin calendars to allow community participation
     

  • Event Registration: When you register for events, we store your registration status and participation data to manage event attendance
     

  • Personal Calendars: We do not access, collect, or store your personal Google Calendar data, events, or credentials
     

Push Notifications
We collect device tokens to send you notifications about events, messages, and app updates.

Goals and Personal Data
Your personal goals and progress data are stored locally on your device for goal tracking features.

How We Use Information
We use your information to:

  • Provide access to the App and its features
     

  • Enable communication and community participation through messaging
     

  • Manage calendar events and track your participation

Data Sharing
We do not sell or share your personal information with third parties. Data is shared as necessary to provide services:

  • Firebase: For authentication, storage, event registration tracking, and profile management
     

  • Stream Chat: For messaging functionality and chat data processing
     

  • Admin Google Calendar: Read-only access to display community events (no personal calendar data accessed)
     

Data Storage
Your data is stored in the following locations:

  • Firebase Firestore: User profiles, calendar events, and event registrations
     

  • Firebase Storage: Profile images and media files
     

  • Stream Chat Servers: All messaging and chat data
     

  • Local Device Storage: Goals, preferences, and personal data (AsyncStorage)
     

Security
We use industry-standard measures to protect your data, including:

  • Secure authentication through Firebase
     

  • Encrypted data transmission
     

  • Secure storage practices
     

  • Regular security updates
     

However, no system is 100% secure, and we cannot guarantee absolute security.

Your Choices
You can:

  • Update your account information in the App
     

  • Control push notification preferences
     

  • Choose whether to upload profile pictures or share media
     

  • Manage your event registrations
     

  • Delete your account and associated data
     

Account Deletion
You may permanently delete your account, along with all associated data, at any time through the app’s settings page. Deletion is processed immediately, and all information is removed within a few seconds. We do not retain any backup copies after deletion.

Data Retention
We retain your data for as long as your account is active or as needed to provide services. When you delete your account, we will remove your personal data from our systems, though some data may be retained for legal or legitimate business purposes.

Children's Privacy
The App is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13.

Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy in the App and updating the "Effective Date" above.
